Privacy Policy

This document explains what personal data SwiftGate Travel Services L.L.C. collects, why it is collected, how long it is kept, and the rights available to you under Egyptian and European data protection law. Last updated: 11 June 2026.

1. Who we are and how to reach us

SwiftGate Travel Services L.L.C. ("SwiftGate", "we", "us") is a private transport services company registered in Egypt.

2. Legal framework

We operate under the Egyptian Personal Data Protection Law No. 151 of 2020 and its executive regulations, which govern the collection, processing, storage, and transfer of personal data in Egypt. Where the person submitting data is located in the European Economic Area (EEA) or the United Kingdom, we additionally apply the principles set out in Regulation (EU) 2016/679 (General Data Protection Regulation — GDPR) and the UK equivalent retained law. In practice both frameworks require the same core commitments: a clear legal basis for processing, minimal data collection, defined retention periods, and enforceable rights for individuals.

The legal bases we rely on are (a) performance of a contract or pre-contractual steps at the individual's request (processing your booking enquiry and delivering the transfer service), and (b) compliance with legal obligations (issuing invoices, retaining commercial records as required under Egyptian commercial law).

3. What data we collect and why

We collect only the information needed to prepare a transfer quotation, coordinate the pick-up, and deliver the service. We do not collect data for any other commercial purpose.

From the booking enquiry form on contact.html we collect:

  • Full name — to address you personally in correspondence and to prepare the driver's name board for meet-and-greet arrivals.
  • Email address — to send the fixed quote, booking confirmation, and any operational updates (flight delay notifications, driver details).
  • Flight number — to track the actual landing time so the driver's pick-up adjusts automatically without requiring action on your part.
  • Service plan selection — to calculate the correct price and allocate the appropriate vehicle and, where applicable, the airport representative for fast-track.
  • Pickup and drop-off details, travel date and time, passenger count, and any specific requirements — operational data needed to dispatch the correct vehicle and driver.

From the quick-quote form on the home page we collect: pick-up airport selection, drop-off description, and an email address.

We do not install advertising or behavioural tracking software. We do not collect your nationality, payment card numbers via this website, social media handles, or any demographic information beyond what you write in the message field.

4. How we use your data

Your personal data is used for exactly five purposes, each directly tied to delivering the service you requested:

  1. Preparing and sending you a fixed-price transfer quotation by email.
  2. Confirming your booking and scheduling the driver and vehicle.
  3. Coordinating real-time pick-up by tracking the flight number you provided and alerting the driver to the actual landing time.
  4. Issuing a payment receipt or invoice upon completion of the transfer, where requested.
  5. Responding to any post-transfer queries you raise about the journey.

We do not use your data to send promotional newsletters, to build preference profiles, or to make automated decisions about you that have legal or similarly significant effects. If you wish to receive service updates voluntarily, you may request to be added to our operational mailing list by emailing us directly — this is separate from the booking process and is entirely optional.

5. Who receives your data — transfers to the driver

To carry out your transfer, we share a minimal subset of your booking data with the driver assigned to your journey. The driver receives your name, the flight number, the pick-up location and arrival terminal, and the drop-off address. The driver does not receive your email address, your payment method, or any information you included in the free-text message field beyond the operational details relevant to the pick-up. All drivers operating under the SwiftGate network have been briefed on their obligation to treat passenger information as confidential and to use it solely for completing the assigned journey.

For VIP fast-track bookings, the airport representative responsible for meeting you airside receives your name and flight number. No additional personal data is shared with airport or government authority personnel beyond what you would present independently (your passport and boarding pass at the relevant desks).

We do not sell, rent, or trade personal data to any third party. We do not share data with advertising networks, data brokers, or analytics platforms.

6. Cookies and local storage

This website does not set advertising cookies, cross-site tracking cookies, or any third-party analytics cookies. The only browser storage in use is a session-scoped item that records whether the navigation menu is open or closed — this contains no personal data, is never transmitted to our servers, and is cleared automatically when you close the browser tab. No consent banner is displayed because no consent-requiring storage is used. If you use a browser extension that lists active cookies, you will find none originating from quick-pass-egy.sbs beyond the session item described above.

7. How long we keep your data

Booking enquiries that do not result in a confirmed journey are retained for 16 months from the date of submission. This window covers the typical planning horizon of travellers who may return to enquire again, and allows us to resolve any billing or operational dispute arising from a cancelled or modified booking. After 16 months, unanswered enquiries are permanently deleted from our systems.

Confirmed booking records — including the correspondence thread, the invoice, and the operational notes — are retained for five years from the date of the journey. This period is set by Egyptian commercial law, which requires companies to maintain transactional records for audit purposes. After five years, all associated personal data is deleted or anonymised so that no individual can be identified from the retained record.

You may request deletion of your data before the standard retention period expires — see Section 10 for how to do this.

8. Data security

Email correspondence containing booking data is stored on servers operated by a business email provider under a data processing agreement. Access is restricted to SwiftGate staff by individual password-protected accounts with multi-factor authentication enabled. Outbound emails containing booking confirmations are transmitted over TLS-encrypted connections. The website itself does not store form submissions on a server database — submitted forms are routed directly to the reservations mailbox. Internal staff handling booking records are trained not to forward customer data to personal email addresses or to store it on unencrypted personal devices.

No transmission of personal data over the internet is completely without risk. If you have reason to believe your data has been compromised, contact us immediately at [email protected] and we will investigate and notify you of findings within 72 hours.

9. International data transfers

SwiftGate is based in Egypt. If you are located in the European Economic Area or the United Kingdom, your data is transferred to Egypt, which the European Commission has not issued a formal adequacy decision for. We rely on standard contractual protections within our service agreements to ensure that your data is handled to a standard equivalent to that required within the EEA. You may request a copy of the relevant safeguards by writing to us at the email address in Section 1.

Within Egypt, data is not transferred to any region with lower protective standards than Cairo, and all staff with access to personal data are based in Egypt.

10. Your rights

Under Egyptian Data Protection Law No. 151/2020 and, where applicable, the GDPR, you have the following rights in relation to your personal data:

  • Right to access — you may request a copy of the personal data we hold about you.
  • Right to correction — if any data we hold is inaccurate or incomplete, you may ask us to correct it.
  • Right to erasure — you may ask us to delete your personal data before the standard retention period expires, subject to any legal obligation requiring us to retain it (for example, invoice records under commercial law).
  • Right to restrict processing — you may ask us to pause processing of your data while a correction or objection is being resolved.
  • Right to data portability — for data processed on the basis of contract or consent, you may request a machine-readable copy.
  • Right to object — you may object at any time to processing carried out on the basis of our legitimate interests.

To exercise any of these rights, email [email protected] with the subject line "Data Rights Request" and describe what you would like us to do. We will respond within 30 days. Requests are free of charge unless they are manifestly unfounded or excessive.

11. Children's data

SwiftGate does not knowingly collect personal data from children under the age of 16 through this website. The booking form is directed at adults arranging transport for themselves or their group, which may include children as passengers. Passenger counts and child seat requirements are operational logistics data only — we do not record children's names, dates of birth, or any personal identifiers for minors travelling with booked adults. If a parent or guardian believes we have inadvertently collected personal data about a minor, please contact us at [email protected] and we will delete it promptly.

12. Automated decision-making and profiling

We do not use your personal data for automated decision-making that produces legal effects or similarly significant outcomes. There is no algorithmic pricing system that assesses you individually — the price quoted for a transfer is determined by the route, vehicle type, and service tier selected, not by any profiling of your identity, browsing behaviour, or personal characteristics. A human member of the reservations team prepares every quote.

13. Changes to this policy

We may update this policy to reflect changes in our service operations, applicable law, or data handling practices. The revised version will be posted at this address with an updated "Last updated" date at the top. If the changes are material — for instance, a new category of data being collected or a new category of recipient — we will notify customers with open bookings by email. For enquiries submitted before an update, the version of the policy in effect at the time of submission continues to apply to that data unless you agree to the new terms.

14. Supervisory authority and complaints

If you believe we have not handled your personal data correctly, you have the right to lodge a complaint with the competent data protection authority. In Egypt, this is the Personal Data Protection Centre (PDPC) established under Law No. 151/2020. If you are located in the EEA, you may additionally approach the data protection authority of your country of residence. We would, however, encourage you to contact us first — most concerns can be resolved quickly at [email protected] without the need for formal regulatory intervention.
